Position Overview

The Faculty Administrative Services in the Faculty of Arts is currently seeking a Full-time Regular Director.

The Director, Faculty Administrative Services, Faculty of Arts, reports directly to the Dean, Faculty of Arts. The Director supports the Dean and Vice Dean and works closely with the five Associate Deans, fourteen Department Heads and School/s Director/s, to coordinate the administrative and non-academic operations of the Faculty. The Director is a member of the Faculty's leadership academic team, has a significant role in major decision making related to all aspects of the Faculty's administrative and operational structures and processes.

Position Description

Summary of Key Responsibilities (job functions include but are not limited to):

  • Works closely with the Dean and Vice Dean and with the Associate Deans when appropriate to develop strategic, short and long term comprehensive resource plans in support of the Faculty's academic priorities
  • Communicates and connects on a regular basis with individual faculty, MaPS, and AUPE to address the changing administrative needs of the departments and the Faculty, and recommend creative best practice solutions
  • Works across the Faculty to develop the appropriate administrative changes based on the strategic plans of the Faculty and academic priorities to ensure the highest level of service to the Faculty of Arts
  • Manages the recruitment, retention, onboarding, training and development of administrative/ department and school managers, and Dean's Office administrative staff
  • Provides oversight and support as work assignments evolve, new technology emerges and Arts support needs become more complex
  • Manages the annual performance review process for department/ school managers, following up as necessary with additional training and coaching
  • Identifies areas for training and development, development programs for training across departments; develops and implements programs for cross department service provisions, participates in faculty wide projects, and assesses outcomes and successes
  • Manages work, projects, and initiatives across the twelve departments and two schools to ensure that Faculty, Department and Unit support needs are met. Strategically influences the facilitation of various assigned projects, and ensures the Dean is well informed regarding issues, and project status
  • The role also provides support to the Dean and unit leaders in the development of Faculty and unit-level academic plans and ensures that the Faculty and in particular the Office of the Dean is capably assisted with effective administrative leadership and support across a wide range of strategic projects and objectives
  • Plays a key leadership role in providing oversight for effective operational/ administrative processes, leading the development and management of projects and initiatives and identifying, evaluating, strategically managing issues in and across portfolios
  • Assesses system and resource problems, works across portfolios to resolve workflow and work process issues, proposes solutions, and creates new opportunities by recommending and implementing changes to administrative systems, procedures, and processes
  • Guides, manages, and enhances partnerships with other Faculties and University units, external stakeholders, adjunct faculty, alumni and donors. Collaborates with Dean's Office staff, the Director of Communications and the Director of Development to manage Faculty events
  • Provides expert advice to the Dean, Vice Dean, faculty and staff, collaboratively co-creating solutions on a wide range of operational processes and issues, gathers information, and prepares briefing documents, proposals, reports, policy papers, and non-routine correspondence for the Dean

Qualifications / Requirements:


  • Must hold a minimum of an undergraduate degree in business management or equivalent.  Graduate degree in business management or equivalent preferred
  • Minimum of 8-10 years of progressive experience and achievement in a senior administrative position within a public sector environment (academic experience preferred)
  • Strong and proven strategic leadership, communication, collaboration, and people management skills are essential
  • Proven ability to motivate, mentor, guide and sustain a team through periods of change is essential
  • Demonstrated ability to both develop (in consultation with the Dean) and interpret strategic direction with the capability to operationalize plans, implement processes, and document procedures for standardization
  • Proven ability to operate within a complex, multi-faceted and highly demanding work environment, and provide clear direction on a wide range of issues
  • Skilled in forging harmonious and supportive working relationships internally and externally
  • Proven project management skills
  • Ability to manage complex staff relations in a unionized environment
  • Passion for and demonstrated commitment to challenging the status quo in order to foster an environment of innovation
  • Excellent communication and coaching skills
  • Ability to make effective judgments with respect to delegating or rerouting as appropriate
  • Must have a high achievement orientation, with the ability to deal with a heavy workload while still ensuring day to day activities are attended to, and be able to deal with challenges of multiple competing demands
  • Must have negotiation skills that are diplomatic and effective and a proven track record of growth and responsibility that has culminated in a senior leadership position
  • Must have a proven track record in matters relating to finance, accounting, people management, ethical standards, and behavior
  • Must be able to produce accurate, timely and concise financial and business reports and present them as required
  • Must be able to think logically, solve problems and be critically objective with an ability to develop creative solutions to complex problems
  • Must be able to work independently as well as in a team environment


  • Extensive knowledge of the University of Calgary policies, procedures and operating requirements, in addition to an understanding of the University organizational structure and governance
  • Sound understanding of the University of Calgary mission, strategic direction, and academic plan
  • Excellent computer skills including strong working knowledge of university systems (including People Soft) would be an asset
