Position Overview

The Department of Psychology in the Faculty of Arts is currently seeking a Full-time Regular Manager, Administrative Services.

The Department of Psychology is a large department consisting of approximately 40 full-time faculty members and over 4000 course enrollees. The Department Manager takes a proactive role in the management and organization of the department's administrative, human and financial resources. This position requires the ability to assess and solve problems, resolve conflict and maintain good judgement. This position is expected to make key decisions and operate independently. Judgement and decision-making of the Manager has an impact at the department and Faculty levels. Interpersonal issues require diplomacy and strong communication skills. This position reports to the Department Head and is complex in scope with a high volume of work. There are periods with multiple simultaneous deadlines throughout the year.


Position Description

Summary of Key Responsibilities (job functions include but are not limited to):


  • Work with Head to articulate department spending priorities and monitors adherence to budget commitments
  • Work with the Head and the Faculty's financial team to ensure efficient coordination of critical information related to budgets, operational commitments and actual expenditures
  • Together with the Head, develop short and long range budget plans for the department
  • Work with the Faculty's financial team to investigate discrepancies

Administrative / Operational

  • Contribute to the development and implementation of the department's strategic direction with respect to staffing, budget and facilities maintenance.
  • Member of key department committees (Executive and Timetabling)
  • Plan, develop and implement administrative policies and procedures witch promote staff competency and effectiveness
  • Timetable courses with the Registrar with minimal conflicts and problems
  • Ensure effective daily operation of the department
  • Coordinate the processes for faculty assessments, promotion, tenure and leave applications
  • Manage special projects
  • Cultivate a collegial, productive work environment
  • Maintain department interests on internal and external committees
  • Develop and maintain beneficial relationships with other units and departments.

Human Resources

  • Supervise five administrative support staff and one technical support staff
  • Coordinate and implement performance evaluations using the university annual performance review process
  • Responsible for the performance management/discipline of support staff
  • Provide information and advice for Heads, faculty and staff on policies and procedures
  • Develop and maintain positive working relationships with faculty, staff and students
  • Facilitate support, training and development opportunities for staff
  • Manage the hiring process for new faculty, sessionals and staff

Qualifications / Requirements:

  • Qualifications include a related degree or diploma with relevant experience with emphasis on administrative, financial, organizational and human resource skills, preferably at the University of Calgary
  • Excellent organizational, analytical and problem solving skills to deal effectively with complex tasks and issues
  • Strong understanding of university policies and processes
  • Strong interpersonal and communication skills
  • Excellent computer literacy and familiarity with university business systems including BAS
  • A combination of education and experience will be considered
