Position Overview

The School of Creative & Performing Arts in the Faculty of Arts is currently seeking a Full-time Regular Business Process Administrator.

This position reports to the Manager, Administrative Services, and will be responsible for the day to day Finance and Human Resouces administrative processes for Dance, Drama, and Music.

Position Description

Summary of Key Responsibilities (job functions include but are not limited to):

  • Responsible for the daily accounting processes for the School of Creative and Performing Arts, specifically for the Divisions of Dance, Drama and Music
  • Responsible for accounts payable including the accurate and timely payment of invoices, accounts receivable, cash management including cash deposits, P-card and T&E card payments and reconciliation, non-employee expense payments, and general ledger journal requests
  • Assists with tracking the use of budgeted operating funds and research account funds
  • Ensures that accounting issues are investigated and resolved in a timely fashion
  • Ensures processes are compliant with university policies and procedures
  • Works with the Manager to ensure accounting processes are uniform within the School
  • Maintains files and records of all financial transactions and all contracts and correspondence related to hiring
  • Responsible for sessional instructor hiring processes and contract preparation, ensuring all university policies and procedures are followed
  • Administers the hiring of casual and student employees ensuring all university policies and procedures are followed

Qualifications / Requirements:

  • Post-secondary education or equivalent training and work experience, in accounting, finance and/or human resources
  • Understanding of University financial practices, policies and procedures and hiring processes and procedures for both sessional and casual and student staff, based upon the AUPE and Faculty Association collective agreements an asset
  • Able to make decisions based on sound judgment within prescribed policies
  • Strong organizational, analytical and problem solving skills
  • Able to set own priorities and deadlines, use initiative, and work with minimal supervision
  • Excellent communication and interpersonal skills are required for interaction with faculty and staff
  • Able to work effectively and manage workload with strict deadlines, and shifting priorities that vary with each of the three divisions
  • Significant administrative experience
  • Strong knowledge of Microsoft Office, e-mail, internet and web-based applications
  • Working knowledge of University business systems, in particular PeopleSoft an asset
