Position Overview

The Economics Department within the Faculty of Arts is currently seeking a Full-time Regular Manager, Administrative Services.

The position reports to the Director, Faculty Administrative Services and dotted-line reporting relationship to the Department Head and is complex in scope, interacting with faculty and students across a diverse cross-cultural environment. The position carries a high volume of work and experiences peak periods with multiple priorities and simultaneous deadlines.

The Economics Department is a large department consisting of approximately 40 full-time faculty members and over 4000 course enrollees.

The Manager, Administrative Services takes a proactive role in the management and organization of the department's administrative, human and financial resources. This position requires the ability to assess and solve problems, resolve conflict and maintain good judgment. This position is expected to make key decisions and operate independently. Judgement and decision-making of the Manager has an impact at department and Faculty levels. Interpersonal issues require diplomacy and strong communication skills. There are periods with multiple simultaneous deadlines throughout the year.

Position Description

Summary of Key Responsibilities (job functions include but are not limited to):

  • Work with the Department Head to articulate spending priorities and monitor adherence to budget commitments.
  • Work with the Department Head and the Faculty's financial team to ensure efficient coordination of critical information related to budgets, operational commitments and actual expenditures
  • Develop short and long range budget plans for the department and provide detailed budget reports and analysis
  • Work with the Faculty's financial team to investigate discrepancies.
  • Contribute to the development and implementation of the department's strategic direction with respect to staffing, budget and facilities maintenance
  • Plan, develop and implement administrative policies and procedures which promote staff competency and effectiveness
  • Timetable courses with the Registrar with minimal conflicts and problems
  • Ensure effective daily operation of the department
  • Coordinate the processes for faculty assessments, promotion, tenure and leave applications
  • Manage special projects
  • Represent Department interest on internal and external committees
  • Develop and maintain beneficial relationships with other units and departments
  • Supervise 3 administrative support staff
  • Provide information and advice for Department Heads, faculty and staff on policies and procedures
  • Develop and maintain positive working relationships with faculty, staff and students
  • Manage the hiring process for new faculty, sessionals and staff

Qualifications / Requirements:

  • A related degree or diploma with relevant experience with emphasis on administrative, financial, organizational and human resources skills, preferably at the University of Calgary
  • Excellent organizational, analytical and problem solving skills to deal effectively with complex tasks and issues
  • Strong understanding of university policies and processes
  • Strong interpersonal and communication skills
  • Excellent computer literacy and familiarity with university business systems including PeopleSoft
  • A combination of education and experience will be considered
